1. Converting to AIMS' Software
  • Can I buy my hardware from my preferred vendor?

    1. Converting to AIMS' Software
     
    Q: Can I buy my hardware from my preferred vendor?
    A: Yes. AIMS sells hardware also, but if you prefer your established vendor, AIMS will work with them on the specs to insure you purchase the appropriate hardware configuration.

    Q: Can we use our existing customer, vendor, product, etc. ID codes and/or descriptions?
    A: In all probability, yes. Commander uses alphanumeric fields for all account IDís, and they are 25 characters long. Product description fields are 40 characters long.

    Q: Can we use our existing GL structure?
    A: Yes, probably. Commander allows up to 25 characters within up to 5 segments with separators among them.

    Q: Do we have to build our own files if we convert to your system?
    A: No. AIMS provides several file-building services. Generally, a new client will be responsible only for entering beginning balances when converting to AIMS.

    Q: Does AIMS offer training in my office?
    A: Yes. AIMS offers on-site training. Our experience is that two weeks of training on the core Commander system gets the job done. In addition, we train you using your data, not generic data. This helps your employees become more familiar with the system.

    Q: From the date we sign an agreement, how long before we can begin using AIMSí software?
    A: It varies, depending on AIMSí prior commitments. Usually, you can expect an to go live on Commander from 90 to 120 days after contract finalization.

    Q: I like what I see so far. What does AIMS do or provide to educate buyers about its software and services?
    A: AIMS has detailed printed information we can mail to you. We have self-running video demo discs we can send. We like to conduct an extensive discovery phone call to learn about your business in detail, and to understand what you are trying to solve or accomplish by acquiring new software and of course, make certain we are a good fit for you. AIMS can also conduct live product demos; in most cases these are presented over the Internet.

    Q: Is it best to wait till the start of a new fiscal year to implement new software?
    A: It is not necessary to wait until the end of the year, and in some cases not desirable. Year End tends to be a busy time for companies. Adding the stress and workload of converting software packages to the Year End process may not be in the clientís best interest. Whether or not it is better to implement new software at the start of a new fiscal year is a decision that needs to be made on a case-by-case basis in consultation with AIMSí training staff.

    Q: What are my other training options?
    A: Classroom training in AIMSí main office in Monroe, LA; internet-based training using remote-access software. AIMS usually trains clients on optional Commander modules via remote-access software.

    2. AIMS' Suppport Policies
     
    Q: Can AIMS provide support to my company, no matter what state we are in, during normal business hours in my time zone?
    A: Yes. AIMS provides support between the hours of 8:00 AM and 6:00 PM Central time. With a support facility in California, we can provide support for clients in the Mountain and Pacific time zones within the normal hours of operation, Monday through Friday.

    Q: Do I have to buy pre-paid support time?
    A: AIMS has a support service option that lets you pay as you go. However, we do not recommend that. Our experience is that users will be much more likely to call for support when they need it if they have already paid for the service.

    3. How AIMS' software is packaged
     
    Q: Can we write our own reports?
    A: Currently, Commander is not packaged with a report writer. All Commander reports can be easily exported into a variety of formats with Excel being the most commonly used product for ďnumber crunchingĒ. New enhancements are being made that will provide additional reporting flexibility.

    Q: Do any of Commanderís optional modules function stand-alone? For example, will the Card Lock module work by itself?
    A: No. Commander is a highly integrated system that is designed so that all modules update each other as needed with only a single entry anywhere in the system.

    Q: Does Commander interface to any c-store software packages?
    A: Yes. AIMS has a growing list of 3rd party c-store software providers whose systems we can interface to. Please see our partner section or contact us for the list.

    4. AIMS' software development policies
     
    Q: If my company pays AIMS to develop something new and AIMS sells it to other clients, does my company get any reimbursement?
    A: If the new feature/module/enhancement is significant enough, AIMS will agree to a reimbursement schedule with your company. However, many improvements that originate as customer suggestions are distributed at no additional cost to all users under the terms of the Software Maintenance and License Agreement.

    Q: Is AIMSí software maintenance agreement optional?
    A: No. All AIMS' clients agree to a formal Software Maintenance and Licensing Agreement. This Agreement provides the means for AIMS to employ qualified systems analysts/programmers and keep your software current with changing business needs.

    Q: Will AIMS write custom programs for my company?
    A: Yes. AIMS offers custom programming services. Estimates of the cost of such projects will be provided on request.

    5. Electronic interchange of documents and data
     
    Q: Can my CPA access AIMS' programs from his office?
    A: Yes. This is simply remote user access. It is very common.

    Q: If we donít want to use DTN or a service like that for our rack price downloads, can AIMS' software pull prices directly off of oil company websites?
    A: Yes. AIMS is experienced doing this as long as the supplier is willing to provide a format that AIMS can read.

    Q: What software is used in our industry?
    A:
    People search the web using a myriad of keywords. Software in our industry is often referred to as accounting software, wholesale petroleum software, petroleum accounting software, fuel business accounting software, fuel software, petroleum software, back office software and other keyword names. In a nutshell, they are seeking accounting software to run their wholesale and retail businesses.  Typically these owners distribute and sell fuel products.

    Q: Who uses AIMS' software?
    A: Our target market is the wholesale petroleum marketer, often referred to a "jobber". We have numerous clients who own and operate convenience stores and use AIMS' core accounting software either as a stand alone solution or interface it to c-store software.
